
Admin Assistant | £25,000 - £30,000 per annum | Permanent | Full-time
We're recruiting an experienced Admin Assistant to join a busy environmental services team based in Manchester. This is a hybrid role offering a balance of office and remote working. The successful candidate will bring strong administrative skills, excellent attention to detail and at least 5 years' experience in a fast-paced office environment.
About the role
You will provide core administrative support across the business, helping to ensure smooth day-to-day operations and excellent service delivery. This is a varied role with clear scope to support project administration, client liaison and internal teams.
Key responsibilities
Maintain and update client records, project files and internal databases to ensure accurate information management.
Prepare and proof documents, proposals, contracts and reports to a high standard.
Manage diary scheduling, travel arrangements and meeting coordination for project teams and management.
Field and triage inbound calls and emails, ensuring prompt, professional responses and accurate routing.
Support finance and HR with routine tasks such as invoice processing, expense reconciliation and onboarding paperwork.
Assist with ad hoc projects and continuous improvement of admin systems and processes.
Coordinate chain-of-custody paperwork for environmental samples, arrange lab submissions and log sample movements to ensure regulatory traceability and correct documentation.
Support occasional site-visit logistics, including booking permits, arranging transport and preparing site documentation packs.
About you
Minimum 5 years' administrative experience in a busy office or services environment.
Excellent organisational and prioritisation skills; able to handle multiple competing tasks.
Strong written and verbal communication skills.
Confident user of Microsoft Office (Word, Excel, Outlook, PowerPoint) and comfortable learning new systems.
Meticulous attention to detail and accuracy.
Able to work both independently and collaboratively in a small team.
A proactive, calm approach and positive attitude.
