Administrator / Receptionist

Based: Manchester (City Centre)

Job Type: Full-time, permanent

Salary: £23,000 - £26,000

Hours: 37.5 hours per week (9am-5:30pm) - Monday - Friday

We are currently recruiting for an experienced Administrator / Receptionist to join one of our clients based in Manchester. This role will require the relevant individual to be all-rounded in terms of providing thorough administration support to the Manchester office and the finance team, whilst working alongside the senior PA.

This is a fantastic opportunity for an experienced individual to progress their career in an established business that is looking to continue to grow with ambitious future plans.

Key accountabilities include (but are not limited to):

As an Administrator:

  • Providing administrative support for the team in Manchester
  • Typing of letters and reports using Microsoft Word
  • Sending documents via DocuSign for signature
  • Setting up new companies as requested
  • Typing of letters, emails, and reports
  • Preparing and formatting proposals and engagement letters
  • Photocopying, filing, archiving, and scanning as required

As a Receptionist:

  • Meeting and greeting all clients, suppliers, and visitors in a friendly, efficient, and professional manner
  • Booking meeting rooms and updating the internal database
  • Answer, screen, and forward incoming calls, taking messages where appropriate
  • Management of meeting room bookings
  • Preparation and clearance of meeting rooms for client meetings
  • Providing refreshments and arranging lunches for client meetings
  • Management of office post, including deliveries (scanning, filing, logging etc)
  • Liaising with buildings management and reception / first point of contact
  • Organising repairs/maintenance in conjunction with property partners
  • Ordering stationery/IT equipment/supplies
  • Petty cash handling
  • Ensuring high standards are maintained in the office

Skills and Competencies Required:

  • Previous OFFICE administration experience, ideally 12 months' experience in a similar role
  • Have strong IT skills, and computer literate (comfortable with Microsoft applications as training is provided for internal systems)
  • Strong working knowledge of Microsoft Office packages in particular Word and Outlook.
  • Excellent verbal and written communication skills
  • Ability to work under pressure
  • Proactive and able to prioritise
  • Team player with a positive attitude
